Lease Administrator
The Lease Administrator will provide ongoing support to the Manager, Leasing and Administration in all aspects of day-to-day activities.
Essential duties for this role include but are not limited to:
- Preparation of offers and leases for residential, commercial and farm tenants.
- Analysis of A/R accounts and preparation of detailed account reconciliations.
- Preparation of proposals for review and approval by client.
- Maintain detailed tracking reports and follow up with client as required.
- High accuracy and attention to detail is a must
- Property Management office administration including typing and distributing correspondence to tenants, filing, answering phones.
Candidate Qualifications:
- College Diploma or University Degree in a legal related area.
- Experience in preparing leases and offers.
- A minimum of three (3) years lease administration experience within a property management company.
- A minimum of one (1) year accounting experience performing accounts receivable.
- Proficiency in MS Excel and MS Word.
- Excellent verbal and written communication skills.
- Very strong attention to detail is reqand problem solving skills.

Property Manager
As a Property Manager, the ideal candidate will be responsible for the successful operation of several commercial properties in the GTA as well as fostering strong relationships with its tenants. The candidate must be customer and team oriented in their approach.
Duties include but are not limited to:
- Cost management of operating expenses;
- Rent collection and arrears management;
- Purchase order processing and contractor management;
- Work order processing and administration;
- Lease administration, tenant liaison, maintenance management;
- Client management and reporting.
To manage this portfolio, the successful candidate must possess a professional attitude along with superior organization, computer and communication skills combined with 5+ years previous Commercial Property Management experience. Also must have the ability to work with a wide variety of people including owners, staff, contractors and tenants.
A valid drivers license and vehicle is required for this role.

Part-time Site Administrator
The Site Administrator will provide (20 Hrs/Wk) support to the Senior Property Manager in all aspects of day-to-day activities at the property.
Key Responsibilities:
- Inputting rent collection into system.
- “Rent geared to income” calculations.
- Purchase order and work order processing.
- Lease administration.
- Handle resident complaints and inquiries.
- Property Management office administration including typing and distributing correspondence to residents, filing, answering phones.
- Other duties and special projects as directed by the Property Manager.
Candidate Qualifications:
- Minimum one year experience in an administrative role.
- Excellent verbal and written communication skills.
- Intermediate computer skills, specifically - Windows, Microsoft Word and Excel.
- Proven organizational skills and ability to meet deadlines.
- Detail oriented; able to resolve problems using facts and sound reasoning.
- Strong customer service skills.
- Experience in a co-operative housing a definite asset.

Accounts Payable Administrator
The DMS Group, Canada’s largest provider of property management services to the non profit housing sector, is looking to add an Accounts Payable Administrator to the team. The successful candidate will be responsible for the accounts payable function to ensure all information is prepared accurately and on a timely basis.
Key Responsibilities:
A/P
- Match invoices with approved purchase orders
- Process invoices into Yardi system.
- Pay monthly contract invoices and maintain contract folders for all recurring payables.
- Pay all utility invoices on time to avoid penalty and interest.
- Print cheques on a weekly basis and mail cheques out to vendors.
- Prepare journal entries for expenditures on pre-authorized payment.
- Review Statement of Accounts and liaison with suppliers for any outstanding invoices.
- File paid invoices on a regular basis.
Candidate Qualifications:
- A minimum of two (2) year accounts payable experience.
- Proficiency in MS Excel and MS Word
- Previous experience in computerized accounting systems.
- Strong attention to detail and problem solving skills.

Site Administrator

The successful candidate will be responsible for the accounts payable or accounts receivable function to ensure all information is prepared accurately and on a timely basis. These positions are based in our site office in Scarborough.
Key Responsibilities:
A/P

- Perform Accounts Receivable duties; charge monthly rent, enter rent cheques into accounting system, prepare bank deposit slips and forward cheques to banks.
- Maintain tenants accounts.

- A minimum of two (2) year accounts payable or accounts receivable experience.
- Proficiency in MS Excel and MS Word.
- Previous experience in computerized accounting systems.
- Strong attention to detail and problem solving skills.
- Excellent verbal and written communication skills
For buildings located in the Greater Toronto Area, Brampton, and Scarborough. Must have experience in light administration duties, cleaning and strong maintenance work knowledge.
