Summary of Function: Under the direction of the Regional Manager, you will be responsible for the successful operation of an assigned number of properties and oversee the operation of an assigned portfolio of clients. The Commercial Property Manager is responsible for meeting all contract obligations and deliverables as well as achieving the client’s goals and objectives through effective financial and operational management.
The Commercial Property Manager is responsible for responding to after hour emergencies, i.e., fire, flood, etc. for any assigned properties.
Major Responsibilities:
Portfolio Administration
- Successful cost management of operating expenses through effective purchase order processing and contractor management
- Management of tenant accounts receivable and collection of rentals, issuing of demand letters and recommendations for default notices
- Review monthly financial statements and provide input to critical/major variances to budget
- Provide input to and prepare drafts of annual Operating Budgets
- Assist in the marketing/leasing of vacant units, coordinate brokers, prepare documents
- Responsible for reconciliation of tenant (AR) and associated reporting
- Monitor and track Lease Expiries and Renewals
- Prepare documents for the Assignment of leases
- Meet assigned DMS deliverable requirement timelines
- Ensures deliverables are met and identifies/addresses issues proactively that may lead to non-compliance
- Mitigates risk for both DMS and client by ensuring legislative and code requirements are met or always exceeded
- Manages tenant concerns through effective conflict resolution to the satisfaction of all parties alleviating potential risk of legal action
- Displays solid understanding of contractual obligations between client and DMS and manages accordingly
Asset Management
- Displays basic understanding of electrical, mechanical, structural and life safety systems with ability to instruct contractors on maintenance requirements.
- Ensures all properties meet and maintain code requirements (fire certification, MLS Orders, etc.)
- Performs annual unit inspections for all assigned properties.
- Monitors contract end dates and contractual obligations for all service contracts
- Directs and supervises all third party contractors and any site staff, to manage the daily/weekly/monthly maintenance while ensuring demand and emergency maintenance items are addressed in a timely manner
- On call response to after-hours emergency as required
- Other assignments within the scope, spirit and purpose of the job as reasonable requested from time to time by management.
To succeed in this role, the candidate must possess the following combination of education, experience and skills:
- Three (3) years experience in Property Management or Property Administration in a Commercial portfolio.
- Experience with YARDI would be an asset.
- Understanding of Commercial leases.
- Experience in Contractor Management and Supervision.
- Demonstrated oral and written communication skills.
- Strong computer skills – MS Word, Excel, and Outlook.
- Reliable Vehicle required traveling to various site
